Who this policy covers

This policy applies to eazytranstx.com, to information collected through our driver and owner-operator/subhauler application forms, and to what you send us by phone or email. It covers website visitors, job applicants, owner-operator/subhauler applicants, and the previous employers, references, and contacts they list.

Information we collect

What we collect depends on how you reach us.

General questions and quote requests

• Whatever you include when you call or email us, which is usually your name, company, phone number, and what you are asking about.

Driver employment applications

• Name, address, phone, email, and driving/employment history.
• Commercial driver's license (CDL) information and class, years of experience, and equipment experience.
• Social Security number, collected for the driver qualification file and required background, motor vehicle record (MVR), Pre-Employment Screening Program (PSP), and Drug & Alcohol Clearinghouse checks under 49 CFR Parts 391 and 383.
• Uploaded documents: CDL, medical examiner's certificate, and (optionally) a motor vehicle record.
• Signed consent for the background and safety-performance history check.

Owner-operator / subhauler applications

• Everything listed above for driver applications, plus:
• Business name and Employer Identification Number (EIN), where applicable.
• Bank routing and account numbers, collected only to set up direct deposit for contracted subhaulers.
• Signed agreements: subhauler policies, non-circumvent/NDA, trucking agreement, direct deposit authorization, and a certification that the information provided is accurate.

Automatically collected

• We keep a one-way cryptographic hash of the submitting IP address rather than the address itself, to detect and rate-limit abuse of our application forms. It cannot be reversed back into an IP address.
• Browser/device information (user agent) sent with a submission, and the page a submission came from.
• If analytics or advertising tools (for example Google Analytics) are enabled on this site, they may use cookies or similar technology to understand site usage. We do not currently run any such tool in production; if that changes, this policy will be updated first.

Why we collect it

We use this information to evaluate and process employment and contracting applications, run the required DOT/FMCSA driver-qualification checks (49 CFR Parts 391 and 383), verify prior employment history under 49 CFR 391.23, set up payroll or direct-deposit for contracted subhaulers, respond to inquiries, and operate and secure our website and application system.

We do not sell your personal information, and we do not use application data for advertising.

How sensitive information is protected

Social Security numbers, EINs, and bank routing/account numbers are encrypted at rest with a separate encryption key for our operation, and are never included in exported reports, printable applications, or day-to-day applicant listings. Only an administrator can view these fields, one applicant at a time, and every time one is viewed, that action is logged with who viewed it and when.

Uploaded documents (CDL, medical certificate, MVR) are stored in an access-controlled system and are only reachable by authorized staff through the hiring platform, never by a public or guessable link.

Who we share information with

We share information only as needed to run our business and meet regulatory obligations:

• Background check, MVR, PSP, and Drug & Alcohol Clearinghouse providers, as authorized by your signed consent.
• Previous employers you list, for the safety-performance history investigation required by 49 CFR 391.23.
• Service providers who host our website, application system, and email (for example, our cloud infrastructure and email delivery providers), under confidentiality obligations.
• Government or regulatory agencies, where required by law or a DOT/FMCSA audit.

We do not sell or rent your information to third parties.

How long we keep it

• Driver qualification files for hired drivers are retained for three years after separation, per 49 CFR 391.51.
• Applications from candidates who are not hired are retained for up to one year and then purged.

Changes to this policy

If we materially change how we collect or use information, we'll update the date at the top of this page. Continued use of our forms after a change means you accept the updated policy.
